Graduation Checklist

Preparing for Graduation

Graduands should use the Graduation Checklist to keep track of deadlines and events leading up to Commencement.
 

Getting Your Academic Record in Order

Graduation Clearance

  • The Registrar's Office will perform a Graduation Clearance for all potential graduates. The Clearance is a degree audit that reviews the courses you have taken and the requirements you have left to fulfill in order to successfully complete your degree.
  • These audits will be sent out in early December after the Registration period ends, taking your spring registrations into consideration and providing ample time to adjust your upcoming course schedule. Additional audits will be performed throughout the spring semester.
  • Please do not request an additional degree audit during this time, as this slows the process. If you have submitted a Graduation Application, the Clearance will be performed several times automatically.
  • Students must maintain a 2.30 Grade Point Average to be eligible for graduation.
  • Students will graduate With Honors if their cumulative Grade Point Average is 3.70 or above. Transfer students must have completed at least two-thirds of the credit hours toward their degree at Wesley in order to eligible for Honors. Those students with transfer credit should view the Transfer Credit section of the Catalog for more specific Honors information.

Transfer of Credits

  • If you have taken a course at another institution and have yet to transfer it to your official record at Wesley, the deadline for submission of these materials is February 8, 2013.
  • Master's students (Master of Arts, Master of Divinity, Master of Theological Studies) should submit a Transfer of Credits Request to the Registrar's Office. The form is located here.
  • Doctor of Ministry students should submit a D.Min Elective Credit Transfer Form to the Doctor of Ministry Office. The form is located here.
  • Please request an official transcript from the other institution before the end of December, allowing ample time for processing at the institution and receipt by the Registrar's Office.

Missing or Not-Reported Grades

  • If any grades from a previous semester are missing or not reported (indicated by an NR on your transcript), contact the relevant faculty member(s) before the end of December.
  • Grade Update forms must be submitted to the Registrar's Office by the professor no later than February 8, 2013.
  • Masters of Theological Studies Paper Proposals are due to Dr. Kendall Soulen no later than October 15, 2012.
  • Please direct all questions related to Doctor of Ministry projects and project papers to the Doctor of Ministry Office.

Student Responsibilities Prerequisite to Graduation

Exit Interview and Surveys

  • If you received financial assistance from Wesley or from the U.S. Federal Government during any portion of your academic career at WTS, you will need to schedule an Exit Interview with the Office of Financial Aid.
  • This interview must be completed by April 30. Please contact the Financial Aid Office to schedule an appointment and obtain further information about graduate exit responsibilities.
  • Graduates are asked to complete two exit surveys online.
    • The Association of Theological Schools (ATS) Graduating Student Questionnaire compiles responses from the graduating students at all member institutions and is used to improve nationwide services to seminaries like Wesley.  This Survey should be completed prior to Commencement.  Click here to access the ATS Survey.  Students must print out acknowledgement of the completed ATS survey and bring it with them when picking up regalia.
    • The WTS Commencement Survey is used in-house to improve services to our graduating students. This survey will be administered online after Commencement.

Turn In Keys

  • Mailbox keys must be returned to the Mailroom by May 10, 2013.
  • Room keys and gate-cards must be returned to the Housing Office by May 10, 2013. Please contact the Housing Office with any questions.

Update Contact Information

  • When you come to pick up your regalia, you will be asked to fill out a Student Information form to update your permanent mailing address, personal email address, and contact phone number(s). It is crucial that you submit a final mailing address, so that you will receive your 1098-T at the end of the year. You may also update your information prior to regalia pick-up by logging into WesleyWeb and clicking on "Change Your Address" under "Account Information" at the bottom of the student menu page.
  • Campus residents should remember to change their address with the United States Postal Service on their website. The Registrar's Office must also be provided with your off-campus permanent address prior to the end of the spring semester. For students who use WTS as their primary postal address, it is very important to complete this process to avoid any delays in receiving mail.
  • Students will also need to update their address with Cokesbury Bookstore.

Consider Donating to the 2013 Class Gift

  • Each year the graduating class, under the auspices of Student Council and in cooperation with the Alumni Relations office, collects funds to purchase a Class Gift to donate to the Seminary.

Tickets & Attendance

Ticket Allotment

  • Each graduand will receive eight (8) tickets for the Commencement service. Each graduand may invite a total of eight guests. Tickets are required for all seating areas with non-obstructed views.
  • Students who worked at a PM&M site will receive two (2) extra tickets for their PM&M learning partners.
  • Tickets will be available in the Registrar's Office at the end of April during regalia pick-up. Students will need to bring a printout confirming their completion of the Graduate Student Questionnaire to receive their tickets. Please note: Lost or forgotten tickets will not be replaced. Keep them in a safe place!
  • Note: Ticket allotment is based on the number of non-obstructed view seats available at The Washington National Cathedral, minus the number of seats needed for Wesley faculty and staff, Board of Governors, and invited guests. The addition of even one extra ticket per graduand would result in overbooking the number of non-obstructed view seats by over one hundred seats. Unfortunately, Wesley cannot offer more tickets than the number of seats at the Cathedral.
  • If you need additional tickets, you will need to ask your fellow graduands. A Blackboard course, with the message board function enabled, will appear on your account after April 16. This will serve as a Ticket Clearinghouse where you may post messages to your classmates requesting extra tickets. Likewise, if you have extra tickets you wish to share, this Clearinghouse will allow you to accommodate your fellow classmates' needs.
  • Please note: The Registrar's Office will only release tickets to the graduand, or his/her representative after receiving written permission to do so. We will only release the entire allotment of tickets, and cannot distribute individual or multiple tickets per special requests.
  • Herff-Jones also has other products that you may wish to purchase at the time that you order your regalia, including personalized graduation announcements and diploma frames.
  • Anything purchased from Herff-Jones other than regalia will be shipped directly to you.

Withdrawing from Graduation / Graduating In Absentia

  • If at any time you need to withdraw from graduation, you must notify the Registrar's Office in writing. Withdrawing your application for graduation means that you are choosing to forego graduation until after May of 2013. Requests to withdraw must be received by the Registrar's Office by March 1, 2013. After March 1, you will be responsible for all graduation charges on your account.
  • If you are unable or do not wish to attend Commencement you must petition the Academic Dean in writing to be excused from the ceremony and graduation exercises. This is called graduating in absentia. Requests must be received by the Registrar's Office by March 1, 2013. After March 1, you will be responsible for all graduation charges on your account.
